Freedom Archery – Terms and Conditions


Introduction

These Terms and Conditions apply to all services provided under the Freedom Archery brand, across all venues and associated companies.

By attending any session, making use of any facility, or engaging with any Freedom Archery service, you agree to these Terms.


Acceptance

By making use of any Freedom Archery service, you confirm that you have read, understood, and agreed to these Terms and Conditions.


Registration and Eligibility

All participants must complete the required registration and indemnity documentation before taking part in any activity.

Participants under the age of 18 must have a parent or legal guardian complete and accept these Terms on their behalf.

Freedom Archery reserves the right to refuse participation where deemed necessary.


Membership and Services

Freedom Archery offers month-to-month training memberships, private lessons, and facility access memberships.

Training memberships are structured around allocated class times. Members are required to select specific time slots, and access is granted based on those selections and availability.

Members may only attend sessions appropriate to their level and as agreed within their membership.


Sign-Up Admin Fee

A once-off sign-up admin fee will be charged when registering for a training membership.

This fee covers onboarding, administration, and initial setup.

If a membership is cancelled and later reactivated, the sign-up admin fee will be charged again.


Payment Terms

Monthly training memberships are billed in advance. Invoices are typically issued around the 21st of each month for the following month, and payment must be received before the start of the new month.

Private lessons are billed in arrears based on sessions attended during the month. Payment must be made within 14 days of invoicing.

Annual facility memberships are billed upfront and are required for access to self-service facilities. These memberships are non-refundable and cannot be adjusted once activated.

Payments are allocated to the oldest outstanding invoice first.

Failure to make payment may result in suspension of access to services and, where applicable, loss of allocated class times.


Billing and Invoicing

Freedom Archery operates under two primary legal entities:

• Freedom Archery Cape Town (Pty) Ltd

• Freedom Archery Johannesburg (Pty) Ltd

Services are delivered under the unified Freedom Archery brand. Billing will be issued from the relevant company depending on the venue, service, or region.

All invoicing is managed through Xero accounting systems, and each invoice will clearly indicate the issuing company and the correct payment details.

It is the responsibility of the client or member to ensure that payment is made to the correct entity as specified on the invoice.

Payments made to an incorrect entity may result in delays in allocation and confirmation of services.


Class Attendance

Membership secures a place within a class structure, not attendance itself.

Missed sessions are forfeited and cannot be transferred, credited, or carried over. This approach allows for consistent scheduling and fair allocation of limited class spaces.


Cancellations and Changes

Membership cancellations must be submitted in writing and will take effect from the start of the following month.

Mid-month cancellations do not qualify for partial refunds.

Changes to class times or membership structure may be requested, but will only take effect from the start of a new month and are subject to availability.


Weather Policy

Freedom Archery will only cancel sessions in conditions that are considered unsafe, such as lightning or severe weather.

Light rain, moderate wind, and general outdoor conditions are considered part of the normal operating environment and sessions will continue in these conditions.

Where possible, sessions may be adapted to suit conditions. If a session is cancelled due to safety concerns, it will not necessarily be rescheduled.


Communication

Freedom Archery communicates with members via platforms such as WhatsApp, email, and the website.

It is the responsibility of the member to ensure that their contact details are correct and to remain informed through these channels.


Conduct and Safety

All participants are required to follow range rules, safety procedures, and instructions provided by coaches at all times.

Failure to comply may result in removal from sessions or suspension of access.

Freedom Archery reserves the right to refuse service or remove any individual where necessary.


Equipment

Equipment is provided at the discretion of Freedom Archery. Participants are responsible for using all equipment correctly.

Any damage caused through negligence may be charged for.


Indemnity and Assumption of Risk

Participation in archery involves inherent risks.

By participating, you acknowledge and accept these risks and agree to take full responsibility for your involvement.

You indemnify and hold harmless Freedom Archery, its associated entities, coaches, staff, contractors, landowners, and affiliated clubs from any claims, damages, injuries, or losses arising from participation or use of facilities and equipment.

You confirm that you are physically and mentally fit to participate and will follow all safety instructions at all times.

For participants under 18, a parent or guardian accepts this indemnity on their behalf.


Media

Freedom Archery may capture photos or videos during sessions for marketing and promotional purposes, including use on social media and digital platforms.

By participating, you consent to the use of such media unless you request otherwise in writing.


Changes to Terms

Freedom Archery reserves the right to update these Terms and Conditions from time to time.

Continued participation constitutes acceptance of any updates.


Once-Off Events and Bookings

Once-off sessions, introductory lessons, and group events are subject to the following terms:

Payment secures the booking. No booking is confirmed until full payment has been received.

Cancellations or rescheduling requests must be made in advance and are subject to availability. Cancellations within 24 hours or non-attendance will result in the full fee being forfeited.

Sessions will proceed in most weather conditions. Light rain, moderate wind, and general outdoor conditions are considered normal and will not result in cancellation.

Sessions will only be cancelled or postponed by Freedom Archery in the case of unsafe or dangerous conditions, such as lightning or severe weather. In such cases, the session may be rescheduled.

Event durations are approximate and may vary depending on group size, conditions, and the flow of the session.

All participants remain subject to the safety, conduct, and indemnity provisions outlined in these Terms and Conditions.
